The Ohio Coalition for the Education of Children with Disabilities (OCECD) is seeking a Parent Training Associate/IT Assistant to join our team. Our organization is looking for an individual that wishes to use their skills to assist our organization meet its duties as a non-profit organization and responsibilities as the Parent Training and Information Center for Ohio (PTI). OCECD is a statewide nonprofit organization that serves families of infants, toddlers, children and youth with disabilities in Ohio, educators and agencies who provide services to them. This position is hybrid, with at least three days required in the OCECD Executive Office located in Marion, Ohio and up to 2 days working remotely at home (depending upon deadlines more time may be required in the office).

BASIC FUNCTION:

Processes all training requests for materials from Information Specialist/Multicultural Information Specialist /Trainers and other staff. Ensures all materials are of the best quality. Packs materials, prepares shipments, and orders shipment pickup from FedEx. Monitors copiers. Keeps material inventories for trainings. Reports to the Executive Director and the Assistant Director.


RESPONSIBILITIES:

PARENT TRAINING ASSOCIATE
  • Answer phones, 2nd in line when Intake/Referral person is here. When Intake/Referral person or Executive Assistants are not here, answers phones 1st in line
  • Mails, copies, shipping/receiving, etc.
  • Maintains effective written and oral communications with staff and supply vendors
  • Helps to prioritize work to ensure that staff needs are met in regard to on-time delivery of services and quality of work
  • Helps to ensure maximum productivity through efficient and effective use of standard operating procedures
  • Ensures proper knowledge and safe usage of all equipment within the office
  • Proficient with operating computers, mail, copy, folding, and fax equipment
  • Maintains the highest levels of customer care while demonstrating a friendly and cooperative attitude
  • Filing, copying, word processing, sending and receiving faxes, sending and receiving email, and all other administrative tasks as assigned
  • Organizes training work room and keeps inventory of requested, used, and returned materials
  • Calls for copier service when copiers are broken
  • Keeps bookshelves filled with publications and tracks numbers
  • Reviews returned materials to check for outdated resources and materials
  • Monitors copiers – fills paper, ink and staples as needed
  • Orders supplies as needed (paper, toner etc.)
  • Other clerical duties as assigned by the Executive and/or Assistant Director

ALL TRAININGS

  • Receives Training Requests and processes in a timely manner as per policy

  • Calls venue of training/or the Information Specialist/Multicultural Specialist/Trainer to confirm number of people attending for in-person trainings
  • Prints and packs materials for information specialist’s trainings and ships
  • Copies and assembles Statewide and Regional Conference training materials, including portfolios, when used (Works with Statewide Conference Coordinator is need it)
  • Copies materials for Information Fairs, IEP Clinics and other non-training events
  • Ships materials using FEDEX Ground or takes to Got Mail when needed
  • Files completed training request forms for future reference

MENTORING 4 READING ACHIEVEMENT,

  • Prepares Mentoring for Reading materials as needed – makes copies, packets, etc. needed for meetings and trainings
  • Updates materials/brochures/handouts, in the copiers as these updates become available

KEEPS COMPLETE RECORD FOR SUBMISSION

  • Submits Travel Report as needed, and Time Sheet with Leave Report from the Absence MGNMT System by the 10th of each month
  • Submits other forms as necessary

OTHER ASSIGNED DUTIES

Checks and responds to all emails within 24 hours


  • Cutting of IMT/GPS pictures during down time to create a backlog to draw on when not compiling these trainings
  • Assemble general packets for distribution and use during down time to compile a backlog of items
  • Use training request forms to update our website events calendar every Friday (for upcoming events)
  • Assistance with eblast creation and distribution on a weekly basis directed by the IT/Webmaster
  • Assistance with the creation of flyers utilizing templates from CANVA and directed by the IT/Webmaster
  • Assistance with updating/creating documents for trainings, statewide events and marketing materials
  • Assistance on various projects as assigned by the directors.

Other

Attends regular staff meetings and staff professional development trainings. Participates in zoom calls/conference calls/webinars, and some conferences when requested by OCECD’s Directors. Filing and typing and organization for own office.
