The Ohio Coalition for the Education of Children with Disabilities (OCECD) is seeking a Statewide Conference/Database Coordinator to join our team. Our organization is looking for an individual that wishes to use their skills to assist us in meeting our duties as a non-profit organization and our responsibilities as the Parent Training and Information Center for Ohio (PTI). OCECD is a statewide nonprofit organization that serves families of infants, toddlers, children, and youth with disabilities in Ohio, and educators and agencies who provide services to them.


STATEWIDE CONFERENCE /DATABASE COORDINATOR JOB DESCRIPTION

BASIC FUNCTION:

Plans/organizes and provides administrative assistance for all OCECD statewide conferences/regional trainings/events in-person/virtual. Assists with accreditation preparations, with speaker/presenter management, maintains correspondence, and other general duties as assigned. Collects all data and maintains database, Excel spreadsheets/Survey Monkey, and FreeAgent software to provide data and information for reporting purposes. Reports to the Executive Director and the Assistant Director.


STATEWIDE CONFERENCE COORDINATOR RESPONSIBILITIES: 
  • Coordinator for the yearly R.A. Horn/Franklin B. Walter/Margaret B. Burley Awards. Maintains correspondence with speakers, works with caterer, prepares handouts and name tags, coordinates registration tables at R.A. Horn Walter /Franklin B. Walter/Margaret Burley Awards.

  • Conference Coordinator for Regional Conferences and Statewide Conferences.

  • Assists with preparation of materials and arrangements, such as name badges, registration materials, conference signage, speaker correspondence, rooming lists, and travel confirmation for statewide/regional conferences.

  • Communicates with speaker/presenter to request their credentials to apply for CEUs for conferences/trainings. Keeps track of CEU approval, then updates registration and flyer as CEUs are approved.

  • Works collaboratively with IT/Webmaster and Statewide Program Coordinator to carry out virtual events (statewide/regional conferences/trainings).

  • Manages logistics to assist with in-person staff meeting arrangements as needed, such as venue, ordering of food, and if directed, arranges for hotel accommodations, food and beverage, and meeting setup at facility.


  • Other duties as assigned.


DATA COORDINATOR RESPONSIBILITIES
  • ·Collects, counts, and reports on ALL data on time (from all of our data sources) to meet grant requirements and responsibilities. Provides data requests to the Executive Director and Assistant Director so that reports and requirements are met. Reporting deadlines fall at various times throughout the year.

  • Obtains information from OCECD Training Data Cover Sheets to complete the Training Activity/Event forms. Enters data from Training Activity/Event forms and the Registration forms into our grant Excel report.

  • Inputs information into the Excel report from the Training Data Cover Sheets received from the trainers and Survey Monkey. Also processes walk-in registrations of those who completed registration forms.

  • Fills out Evaluation Summaries from trainings received for the month and emails to Executive Director, Assistant Director, and the staff person involved.

  • Prepares reports regarding training activities, training requests, evaluations (for trainings and conferences), and mid- and quarterly grant progress upon request to the Executive Director and Assistant Director to review.

  • Tracks staff’s Meeting Reports to ensure they are completed monthly.

  • Other duties as assigned.

DATABASE RESPONSABILITIES (Customer Relationship Management System is FreeAgent
  • Maintains communication with FreeAgent account managers to create new features and resolve any issues occurring.
  • Learns to create and adjust features in FreeAgent software.
  • Manages user setup and removal.
  • Works together with IT/Webmaster to train staff on all features of the software.
  • Works together with IT/Webmaster to create training materials and record trainings for posting on the staff website.
  • Learns all features of the software to be able to assist staff with issues they are having. Provides internal support for staff. 
  • Learns full features of apps and the data tracked on each one.

  • Filing, typing, and organization are essential for this work and maintaining home office.
  • Ability to meet deadlines. 
  • Expertise with Excel.
  • Expertise with Survey Monkey.
  • Strong experience or understanding of Customer Relationship Management Systems (CRM), familiarity with FreeAgent is a plus, but not required.
  • Experience or understanding of Case Management Systems (CMS), familiarity with Eschoolview is a plus, but not required.

Position is full-time with excellent benefits. Salary is based upon OCECD salary schedule and experience. A home office is required for this job.
